Billing Services

(Please note that you must be a midwife or birth center owner in order to become a client.)

Who we serve: We offer insurance billing services for midwives in independent practice and birth centers.  We work with certified professional midwives, licensed midwives, registered midwives, certified nurse midwives, and birth center owners.

What we bill for: We have spent many years dedicated to the task of determining how best to represent the midwifery model of care with regards to billing insurance and maximizing reimbursement.  There is so much more to bill insurance for than simply the global fee!  We bill for all of the care that you provide, including but not limited to:

  • Blood work
  • Prenatal visits outside the normal schedule
  • Rhogam and other injections
  • Pap collection
  • Fetal non-stress test
  • Supplies
  • Tub rental
  • Prolonged labor management in addition to the global fee
  • Labor management before transport to the hospital
  • Labor management in the hospital
  • Immediate prolonged postpartum care
  • IV therapy, injections, and drugs
  • Oxygen therapy
  • Catheterization
  • Postpartum visits that should not be considered part of global
  • Birth assistance
  • Newborn exam at birth and follow-up visits
  • Newborn resuscitation
  • Newborn screen
  • All well-woman care (visits, family planning services, supplies, etc.)

Services offered:

  • Customized superbills and client registration forms
  • Assistance with financial agreements, collecting upfront deposits, calculating refunds, balance-billing
  • Advice with regards to being contracted or remaining out-of-network
  • Verification of benefits by qualified specialists
  • The setting up of in-network exceptions when possible
  • Consistent, aggressive follow-up on claims
  • Monthly claim status reports
  • Submission of effective appeals and follow-up
  • A qualified and available biller assigned to your account as your primary contact who you can develop a relationship with and trust that she has your best interests in mind

What our web-based software program allows you to do:
  • Access all data for your account 24/7 by logging in from any computer with Internet
  • Enter client information or view information we have entered
  • See all details of your claims: what codes and fees we used, when and where we sent the claims, etc. (no need to wait for the monthly claim status report)
  • Know how much to refund your clients; our system can track how much your clients pre-paid while also tracking how much insurance paid; this makes for easy reconciliation of your accounts
  • Look up any electronic insurance statement (EOB) by check number; the system will store all EOBs for you indefinitely
  • Track your inventory and be notified when you are running low on supplies
  • Schedule appointments (there is an additional fee for this aspect of the software)
  • Pull all financial reports for your business at any time (i.e. individual reports of what was paid for a particular client, reports that show how much is currently outstanding on your account, reports that show how much has been paid to you year-to-date, etc.)
  • Scan copies of insurance cards, chart notes, superbills, etc. onto our secure database to be stored indefinitely and retrieved at any time

Fees for our service:

  • We have no annual fees and no minimums; we don't care if you do a couple of births per year or 15 births per month
  • Our one-time set-up fee is $299 for standard setups (which includes: creation of your account in our web-based software system, all customized forms that you will need to work with our service, a start-up kit with great informational materials to help you make your business more financially viable, etc.) or $399 for extended setups (this includes everything in a standard setup as well as getting you set up with all of the insurance companies if you've never billed before or making demographic changes if you've billed previously with information that is now outdated and requires a change with the insurance companies).
  • Our service fee is 8% of what insurance reimburses on your claims (not on what is charged, allowed, or applied to deductible)
  • Our fee to verify benefits and apply for in-network exceptions is $15 per insured
